What is Bulletin Board?

Bulletin Board

In Bulletin Board you can post important company-wide announcements or post articles/documents for everyone to see. The announcements are organized by category for quick accessibility.

1. Post Articles

To post an articles in Bulletin Board, follow these steps:

  1. From the Portal Page, click Bulletin Board on the Office 4 menu.

    The Bulletin Board window appears.

  2. Click Post Article.

    The Post Article window appears.

  3. Enter article information:

    • Select Bulletin Board Name (pull-down menu).
    • Add title, message.
    • To attach files, click Browse, and then select a file.
  4. When done, click Post.

2. Reply to Articles

When you reply to a Bulletin Board posting, your response will be posted in the Bulletin Board for all to see. To reply to an article in a Bulletin Board, follow these steps:

  1. From the Portal Page, click Bulletin Board on the Office 4 menu.

    The Bulletin Board window appears.

  2. From the Latest Article List area, select the article to which you'd like to reply.

    The Article window appears.

  3. Click Reply (far right).

    The Reply window appears with the quoted article.

  4. Enter your reply.

    To attach files, click Browse, and then select a file.

  5. When done, click Post.

    Your reply will be posted in the Latest Article list.

3. Edit Articles

When you edit an article within a Bulletin Board, the edited article will be posted in the Latest Articles List as a Revised entry.

You are only allowed to edit your own posting. If you are viewing another user's posting, you will not have the option to edit.

To edit your own article in Bulletin Board, follow these steps.

  1. From the Portal Page, click Bulletin Board on the Office 4 menu.

    The Bulletin Board window appears.

  2. From the Latest Article List or the Bulletin Board List area, choose an article to edit.

    If selecting from the Bulletin Board List: First click a Bulletin Board topic, then select an article.

  3. Click Edit (far right).

    The Edit Article window appears.

  4. Edit the article as desired.

    To attach files, click Browse, and then select a file.

  5. When done, click Post.

4. Delete Articles

You can only delete an article that you posted. In order to delete another user's article, you must be a system administrator.

To delete your own Bulletin Board posting, follow these steps:

  1. From the Portal Page, click Bulletin Board on the Office 4 menu.

    The Bulletin Board window appears.

  2. From the Latest Article List area, select an article to delete.

    If selecting from the Bulletin Board List:

    • First click a Bulletin Board topic.
    • Select an article.
    • The Article window appears.

    Note: Only the system administrator can delete other users’ articles. If you are an admin, login and continue to delete article.

  3. Click Delete (far right).

    The Delete Article window appears.

  4. When done, click Yes to confirm.

5. Search Articles

To search articles posted on Bulletin Board, follow these steps:

  1. From the Portal Page, click Bulletin Board on the Office 4 menu.

    The Bulletin Board window appears.

  2. Click Search.

    The Search window appears.

  3. Set the search criteria as desired.

    • Keyword: Allows you to search by a special word or phrase.
    • Number of Articles to Search: Allows you to specify an exact number of articles to search.
    • Bulletin Board Name: Allows you to specify which Bulletin Board to search.

    When done selecting criteria, click Search.

  4. Bulletin boards that meet your search criteria will appear.

6. Browse the Latest Articles

You can browse the latest postings either from the Bulletin Board home page or from your Portal Page.

  1. To see Latest Postings in Bulletin Board:

    From the Portal Page, click Bulletin Board on the Office 4 menu.

    The Bulletin Board window appears.

    From the Latest Article List area, select an article to browse.

    The Article window appears.

  2. To see Latest Postings on your Portal Page:

    From your Portal Page, click the Settings from the Bulletin Board section on the main page.

    Set the Number of Latest Articles to List on Portal Page.

7. Browse Other Bulletin Boards

To browse Bulletin Board postings that are not a Latest Listing, follow these steps:

  1. From the Portal Page, click Bulletin Board on the Office 4 menu.

    The Bulletin Board window appears.

  2. From the Bulletin Board List area, click a bulletin board to browse.

    The articles for that bulletin board topic appear.

  3. Browse the article list or click an article.

8. Change Bulletin Board Settings on Your Portal Page

  (User Settings)

You can control yoru personal view of Bulletin Board on your Portal Page. In order to change your personal view, follow these steps.

  1. Click Settings from the main Bulletin Board section on your Portal Page.

    The Bulletin Board User Setting for the Portal window appears.

  2. Select general settings as desired.

    Number of Latest Announcements to Display: Select the number of announcements to be shown on your Portal Page.

    Length of Announcement Names to Display: Select the length of announcement names on the your Portal Page.

    Length of Bulletin Board Names to Display: Select the length of bulletin board names on the your Portal Page.

  3. When done, click Save.

9. Set up Bulletin Boards

  (System Settings)

As a system administrator, you set up the different Bulletin Boards for all users.

  1. From the Portal Page, choose Bulletin Board > Setting.

    If you are not already logged in as Admin, enter your admin password when prompted.

    Select Bulletin Board Setting.

  2. To add a Bulletin Board, click Add.

    • Add Bulletin Board Name.
    • Click Set as Group-Exclusive and select a group from the pull-down menu if you want the Bulletin Board to be seen/edited only by a particular group.
    • Click Add.

    To edit a Bulletin Board, select a Bulletin Board.

    • Click Edit.
    • Make changes as necessary.
    • Click Save.

    To delete a Bulletin Board, select a Bulletin Board.

    • Click Delete.
    • Click Yes to confirm.
  3. To Reorder Bulletin Board display, click the Up Arrow or Down Arrows.

    • To move up: With the Bulletin Board highlighted, click the Up Arrow to move the Bulletin Boiard up to a desired location.
    • To move down: With the Bulletin Board highlighted, click the Down Arrow to move the Bulletin Board down to a desired location.

10. Create a Group Exclusive Bulletin Board

  (System Settings)

As a system administrator, you can set up Bulletin Boards that are exclusive to specific groups.

  1. From the Portal Page, choose Bulletin Board > Setting.

    If you are not already logged in as Admin, enter your admin password when prompted.

    Select Bulletin Board Setting.

    All Bulletin Boards will be listed.

  2. Click Add.

  3. Enter a bulletin board name.

  4. Click Set This Bulletin Board as Group Exclusive.

  5. When done, click Save.

    Please refer to Access Permission Setting for other permissions.

11. Set Access Permissions

  (System Settings)

As a system administrator, you control the Bulletin Board access permissions for guest users. To change permissions, follow these steps:

  1. From the Portal Page, choose Bulletin Board > Setting.

    If you are not already logged in as Admin, enter your admin password when prompted.

    Select Access Permission Setting.

  2. Select permission settings as desired.

  3. When done, click Save.

12. General Settings

  (System Settings)

As a system administrator, you control the General Settings of Bulletin Board for all users.

  1. From the Portal Page, choose Bulletin Board > Setting .

    If you are not already logged in as Admin, enter your admin password when prompted.

    Select General Setting.

  2. Modify settings as desired.

    Number of Attachment Files per Article: Select the number of files that can be attached to each Bulletin Board posting.

    Number of Articles to List on Bulletin Board: Select the number of announcements that are displayed on each Bulletin Board.

    Number of Latest Articles to List: Select the number of latest announcements that are displayed on the Bulletin Board home page.

  3. When done, click Save.

13. Delete/Move Articles

  (System Settings)

As a system administrator, you can delete articles and move articles to different Bulletin Boards.

  1. From the Portal Page, choose Bulletin Board > Setting.

    If you are not already logged in as Admin, enter your admin password when prompted.

    Select Delete/Move Article.

  2. Click the bulletin board containing the article to delete/move.

  3. Select an article to delete/move.

  4. Choose a delete or move option:

    To delete: Click Delete, then click Yes to confirm.

    To move: Choose Bulletin Board to which you want the article to move. Click Move.

14. Delete All Articles

  (System Settings)

As a system administrator, you can delete all the articles in a particular Bulletin Board. Be sure you have a data backup before deleting, as this action cannot be undone.

  1. From the Portal Page, choose Bulletin Board > Setting.

    If you are not already logged in as Admin, enter your admin password when prompted.

    Select Delete All Articles.

  2. From the Bulletin Board drop-down menu, select the bulletin board containing the articles to delete.

  3. Select a time period to delete articles.

  4. When done, click Delete.

15. Merge Bulletin Boards

  (System Settings)

As a system administrator, you can merge existing Bulletin Boards into a single Bulletin Board as follows:

  1. From the Portal Page, choose Bulletin Board > Setting.

    If you are not already logged in as Admin, enter your admin password when prompted.

    Select Merge Bulletin Boards.

  2. Select a bulletin board to merge.

  3. From the drop-down menu, select a bulletin board to merge with.

    If you want to merge with a new bulletin board, you must first Set Up the Bulletin Board.

  4. Click Merge.

  5. When done, click Yes to confirm.

16. Split a Bulletin Board

  (System Settings)

As a system administrator, you can split existing Bulletin Boards into multiple Bulletin Boards as follows:

  1. From the Portal Page, choose Bulletin Board > Setting.

    If you are not already logged in as Admin, enter your admin password when prompted.

    Select Split Bulletin Board.

  2. Set up a new bulletin board by clicking Bulletin Board Setting.

  3. Click Delete/Move Article.

  4. Select the Bulletin Board that contains the articles you want to move to the new Bulletin Board.

  5. Check those articles you want to move.

  6. Select the Bulletin Board where the articles should move using the drop-down menu, and click Move.
