Group-exclusive means only the appointed group will have access to the data. You can set up group-exclusive
- Cabinet folders
- Bulletin Board categories
- Forum Categories
To simply view a document, click on the name of the file you want to view, and check Open this file from its current location.
If you do this, do not make edits. Edits should be made from a version of the file that is saved on your computer.
To change a file name in the Cabinet:
- Click on the file name you want to edit (in the left column).
- Click Folder Details.
- Click Edit.
- Change name and click Update.
If you create a folder that is group exclusive, only the members of that group will see the folder or be able to add/edit files in that folder.
Group exclusive folders can only be set up at the Root Level of the folder hierarchy.
The file lock feature may be turned on while another user is editing the file. Office 4 automatically turns on this function when a user accesses a file. Please wait until the other user is finished editing the file.
You can only delete a folder if it is empty. To do so, click on the folder you want to delete (in the left side index). Then click on Delete Folder.
To Edit the locked file, you should make sure you have the latest version of the file on your hard drive.
1) Download the file from the Cabinet by clicking on the file name.
- If you already have the file on your hard drive, we recommend you overwrite the file with this latest version (put in the same place on your hard drive).
- If you've never worked on this file and it is new to your hard drive, put it in a place where you can remember where it is.
2) Go to your hard drive files and find the file you downloaded. Open the file to edit. Save your edits.
3) When you are finished editing your file, go back to Share360. From the Cabinet home page, go to the File Details page for the file you edited. The document should still be locked by you.
4) Click Update.
5) Browse to find the edited file. Add notes to the log letting other users know what changes you made.
6) Click Update. The new, edited version of the file is now in the cabinet, and it has been unlocked to let others edit if they choose.
You can restore a file for a certain time period even if you accidentally delete it.
Note: The time period can be set from 1-10 days by the system administrator through Admin Tools - General Options.
Click the Folder Details for the folder that contained the file you want to restore.
Select a file from the Update Log.
Click Restore.
